N8N Best for: Advanced users, self-hosting, maximum flexibility. Strengths: Open source. Can be self-hosted (free at scale). Most powerful for complex workflows. Growing community. Limitations: Requires more technical comfort. Less beginner-friendly. Pricing: Free to self-host. Cloud version from $20/month. Learn this if: You're technically comfortable and want maximum control.

Recommendation for beginners: Start with Zapier to understand the concepts. Graduate to Make when you start doing client work.

3. Building Your First Automation

Let's walk through building a real automation using Zapier.

SCENARIO: When someone fills out a contact form on your website, automatically: 1. Add their details to a Google Sheet 2. Send them a welcome email 3. Create a task for yourself in Trello

STEP 1: Set up your trigger In Zapier, every automation starts with a trigger — an event in one app that starts the workflow.

Go to Zapier → Create Zap → Choose your trigger app (e.g. Typeform, Google Forms, or your website form tool). Select the trigger event: "New Form Submission" Connect your account and test it.

STEP 2: Add your first action Actions are what happen after the trigger.

Click the + button → Choose Google Sheets → Select "Create Spreadsheet Row" Map the form fields to spreadsheet columns: Name → Name, Email → Email, Message → Message Test the action — it should create a row in your sheet.

STEP 3: Add more actions Click + again → Choose Gmail → "Send Email" Set up the welcome email template. Use the form fields dynamically: "Hi {{Name}}, thanks for reaching out..." Add another + → Choose Trello → "Create Card" Set the card name, description, and list.

STEP 4: Turn it on Review your Zap, name it, and turn it on. From now on, every form submission triggers the full workflow automatically.

Total setup time: 20–30 minutes. Time saved every week: depends on volume, but typically 30 minutes to several hours.
